The following actions can be carried out using the screen 'perform an action' (control panel > actions > perform an action).

Many pre-defined actions can also be called up directly from the control panel (the options on the right-hand side of the page). The screen 'perform an action' is then opened with some of the parameters already entered.

The input records for an action can be:

  • a single record,
  • all records on a list,
  • all records of a given type.
If desired, records can be further selected using a complex set of search criteria (with AND, OR, etc.).

add to list

Add records to a list.

By using a list as input for this action, the contents of two lists can be added together.

call up records

Call up records for processing.

The records input to and selected by this action will be called up, one by one, in their respective screens.

When more than one record is to be called up, a small floating navigation box will be opened which can be used to navigate forwards and backwards through the selected records:

delete a list

Delete a list.

Delete one or more records.

Records will only be deleted where this is possible, taking into account the record's company code, the user's company code and status (company manager, read-only, etc.), and the way in which the record is currently used in the system. E.g. it is not possible for a user from one company (except for user MANAGER) to delete a record when it is on a list available to all companies (company code *ALL).

export to import/export file (.ipd)

Export selected records to an import/export file (.ipd). The file can then be imported into another webphlex database.

An import/export file can in principle contain any information stored in the database, e.g. web page groups, elements and text blocks. It cannot, however, contain the contents of files used in a web site, e.g. images.

When a web page group is being exported, the option will be offered to also export the text blocks used in that page group, and when a web server is being exported, the option will be offered to also export the web page groups which use that web server. Using these options, it is easy to export all the data necessary for building an entire web site.

Note that this feature may not work if you do not have a working version of Microsoft Excel installed on your system.

generate output files

Generate the output files (e.g. HTML files) for a page group from the data stored in the database, and write them to disk.

This is equivalent to using the 'generate' buttonclick for more information about this button ) in the web page groups screen (control panel > web pages > web page groups).

import from import/export file (.ipd)

Import the contents of an import/export file (.ipd) into the database.

An import/export file can in principle contain any information stored in the database, e.g. web page groups, elements and text blocks. It cannot, however, contain the contents of files used in a web site, e.g. images.

Records can only be imported when their company code already exists in the database; you must first create the company if necessary.

A record can not be imported if a record already exists with the same record code for the same company. You must first delete or rename any such records.

When the record number of a record to be imported already exists, the option will be offered to import the record with a new record number. If this is done, all imported records will afterwards be checked for use of the old record number, and updated where necessary. This is a fairly lengthy process, and interrupting it may cause links within and between the imported records to no longer work. Tip: rather than importing records with a new record number, it is often faster to copy the existing records to new ones, then delete the originals, so that their record numbers are no longer in use. It may be useful to influence the record numbers assigned to copied or imported records, using the first, last and current key values in screen 'system settings' (control panel > system maintenance > system settings).

Note that data cannot be imported into a trial version of webphlex, with the exception of the example files provided by iphlex systems.
