These screens have not yet been properly documented, but the descriptions below should give a good general idea of their functions.

screen: clean up / compact database

[control panel > system maintenance > clean up / compact database]

In this screen you can

  • look for and correct logical inconsistencies in the database (theoretically, you should never find any!),
  • remove temporary data,
  • compact the database.
Compacting the database can reduce its physical size after data has been deleted. It is carried out by the external DB maintenance program, the location of which can be found at: control panel > system maintenance > system settings > external programs.

screen: company

[control panel > system maintenance > companies]

In this screen you can

  • create and delete companies,
  • change company details such as the company's name and address and default language.
N.B. these values can only be changed by a user with company manager status, or by user MANAGER.

Only user MANAGER can create and delete companies.

screen: control panel

The control panel is started automatically after user lon-on.

From here you can start all other screens (on the left-hand side of each page) and pre-defined actions (on the right).

You can also log on as a different user, change the system language, and (in the case of user MANAGER) change the active company.

screen: empty / load database

[control panel > system maintenance > empty database / load this database from another database]

In this screen you can

  • completely empty the database,
  • load the database with data from another database (it will first be emptied).
This program is intended mainly to be used when migrating from one version of webphlex to another. If you want simply to copy data from one database into another, use the export and import actions.

Note that it is not possible to load data from a newer version of the database into an older one.

Neither is it possible to load a trial version of webphlex from another database; a trial version can, however, be loaded into a registered version.

screen: enter new registration code

[control panel > system maintenance > enter new registration code]

In this screen you can enter a new registration code, supplied by iphlex systems, to change a trial version into a registered version and/or to change the system's expiry date. A password may also be required.

Note that when a trial version is changed into a registered version, the user passwords will no longer be valid. The password of user MANAGER will be reset to the default "manager". You will have to log on as user MANAGER and re-enter the passwords of any other users.

screen: help message

In most help messages you can click on the 'main help system' button (top left) to start the main (external) help system in a browser window.

There you'll find much more information, in a form which is much easier to read!

Note that to do this, both the location of the help files (control panel > system maintenance > system settings > general) and that of the browser (control panel > system maintenance > system settings > external programs) must be set correctly.

screen: global find and change

[control panel > tools > global find and change]

In this screen you can

  • find all occurrences of a given text string throughout the system, directly changing the retrieved data or interrupting the process to work on a retrieved record if desired,
  • replace all occurrences of a given text string by another throughout the system,
  • replace a given text block by another throughout the system.
Note that hidden text blocks will not be found in this screen.

screen: languages

[control panel > system maintenance > languages]

In this screen you can

  • maintain languages,
  • set a default font to be used when displaying text in a language (this is especially intended for languages with a non-western-European character set).

screen: lists

[control panel > web pages > lists]

In this screen you can

  • create and delete lists,
  • add/remove items to/from lists,
  • carry out actions on the items on a list (e.g. call up the records to work on them, or generate output files for all the web page groups on a list).

screen: perform an action

[control panel > actions > perform an action]

In this screen you can perform an action on a given record or set of records. These can be:

  • a single record,
  • all records on a list,
  • all records of a given type.
If desired, records can be further selected using a complex set of search criteria (with AND, OR, etc.).

This screen can be started from the control panel (the menu items on the right-hand) with preset parameters for various pre-defined actions.

When started otherwise, the parameters shown will be those used for the last action performed.

Note that hidden text blocks will not be retrieved during actions.

screen: preferences

This screen can be started using the preferences button ( ) found at the top of most screens (including the control panel).

Here you can set a wide variety of user preferences, either for the current session (the default) or more permanently.

User MANAGER can set the default preferences for any user, by clicking the preferences button ( ) in the user screen (control panel > system maintenance > users).

screen: search for records

[control panel > tools > search for records]

In this screen you can perform a fast search for records, and call them up in their respective screens to be worked on.

Records can be selected on the presence on a given text string in their most important fields, and sorted on those fields on the screen.

A record can then be called up by double-clicking on its line on the screen.

A group of records can also be selected, and called up for further processing using the 'work on selected record(s)' buttonclick for more information about this button ).

You can also start this screen using the search button ( ) found in many places throughout the system. When the search screen then opens, it will be ready to search for records relevant to the screen from where it was called.

 

Tip: you can search for a text in the help system by opening the text blocks screen (control panel > texts and documents > text blocks), clicking the search buttonclick for more information about this button ), setting "show hidden text blocks?" on, and searching for the text. Double-clicking on a line in the results window will call up the text block, and on the page "used in help item" in the text block screen you can see any help items which use the text. Double-clicking on one of them will call up the help message.

screen: system information

[control panel > system maintenance > system information]

This screen displays information about the system, such as the version number, expiry date and registration details.

You can also start this screen from the control panel using the system info button ( ).

screen: system settings

[control panel > system maintenance > system settings]

In this screen you can change system details such as

  • the locations for temporary and log files,
  • the names and locations of external programs (e.g. browser and image viewing programs),
  • the first, last and current key values to be used when creating new records.
N.B. these values can only be changed by user MANAGER

screen: users

[control panel > system maintenance > users]

In this screen a system user can change his/her own password and preferences, e.g. which screens are to be automatically opened at system startup.

A user with company manager status can also change the password, status (company manager, translator, read-only, etc.), language, etc. of users in his/her own company.

User MANAGER can also

  • create and delete users,
  • change the password, status, language, etc. of users in any company.

screen: web servers

[control panel > web pages > web servers]

In this screen you can

  • maintain web servers,
  • add/remove web servers to/from lists,
  • see which page groups use a web server, and work on these page groups.
