General information about some buttons and fields which are common to many screens; more specific information can often be found in the screen documentation. Most of the examples shown are based on the web page group screen, but the descriptions apply to all screens.

screen heading

The standard Windows heading showing the name of the screen, usually with minimise, maximise/restore and close buttons on the right.

Note that if you maximise one screen, all screens are automatically maximised. Minimising a screen which is maximised will automatically restore all other screens to their standard size (i.e. they will no longer be maximised)

Tip: If you want screens to be maximised every time you log on, you can set this option in the user preferences screen (click button in most screens).

record status indicator

Normally a black arrow ).

An asterisk ) here indicates a new (i.e. an as yet non-existant) record. You'll only see this in multi-record subscreens, such as the text block screen.

When this field changes to a pen symbol ( ), the record has been changed on the screen but the database has not yet been updated. Leaving the record or clicking the save record button at this point will write the current screen contents to disk.To undo the changes press the Escape key or click the cancel changes button.

warning for system data etc.

A warning appears in this field when the record cannot be changed. This may be because it is system data (which can never be changed), or because it is available to all companies and can only be changed by user 'MANAGER'.

record number

Record number. Use the pull-down button or type in a number to call up the required record. This number is the unique identifier of a particular type of record, and once assigned it can never be changed.

Note that in many screens this pull-down button will only show a list of records on the fast find list, unless you tick the show all records indicator.

Tip: If there are a lot of records it will often be much easier to use the search buttonclick for more information about this button ) to find a specific record than to use this field.

record code

Record code. Use the pull-down button to call up the required record. This code is the unique identifier of a particular type of record within a company. It can be changed, but must remain unique.

Note that in many screens this pull-down button will only show a list of records on the fast find list, unless you tick the show all records indicator.

Tip: If there are a lot of records it will often be much easier to use the search buttonclick for more information about this button ) to find a specific record than to use this field.

company code

The company to which the page group belongs. When the company code is *ALL, the page group is available to all companies.

show all records

When this indicator is off, the pull-down buttons for key number and/or key code will show only the records most relevant in the given situation. E.g. for records (such as the page group or text block) which have a 'fast find list' indicator, only records on the fast find list will be shown.

Set this indicator on to look for all records.

Tip: You can set this indicator on by default in the user preferences screen (click button ).

Is this record included in the fast find list?

Records in the fast find list appear in the drop-down lists for number and code, normally at the top-left of the screen.

is record active?

Is this record active? A record which is inactive cannot be used in any new situations, but works normally otherwise. Records which cannot be deleted can be made inactive to prevent any further use.

refresh screen

Click once to refresh the current record. This is equivalent to leaving the record and returning to it.

Double-click to refresh the current screen. This is equivalent to closing the screen and reopening it.

cancel changes

Ignore all changes made on the screen and re-display the values currently stored in the database.

Note that this can only be done BEFORE the screen contents are written to disk.

search

Calls up the search screen.

Click to open the user preferences screen.

go forward / back (browser style)

The 'back' and 'forward' buttons (blue) work as in a browser. Use the 'back' button to navigate up the chain of records already worked on in the current session. The 'forward' button will take you in the opposite direction.

Click the bar above or between these buttons to change to 'previous' and 'next' buttons and read serially through the database.

go to previous / next record

The 'previous' and 'next' buttons (black) take you serially backwards and forwards through the records in the database, in the order in which they are displayed (usually alphabetically on code).

If you are working on the first record in the database, the 'previous' button will take you to the last one.If you are working on the last record in the database, the 'next' button will take you to the first one.

Click the bar above or between the buttons to change to 'browser style' forward and back buttons.

create new record

Creates a new, empty record.

In a subscreen, the new subrecord will be created below all the existing subrecords for the current main record. To create it somewhere else (e.g. above all the existing subrecords or directly above or below the current subrecord), use right mouse-click , which will offer the following options:

Create a new record as a copy of the current record

delete record

Delete the current record. If the record is in use, deletion will not be possible, however the record can still be made inactive, preventing it being used in any new situations.

copy field contents to clipboard

Copy the contents of the associated field to the Windows clipboard.

This is equivalent to selecting the entire field contents and then either clicking the right mouse button and selecting 'copy', or typing Control C.

paste clipboard contents to field

Paste the contents of the Windows clipboard to the associated field.

This is equivalent to selecting the entire field contents and then either clicking the right mouse button and selecting 'paste', or typing Control V.

system information

Open the system information screen, with information such as the version number, expiry date and registration details.

help

Get help on the current screen.

A pop-up help screen will appear with information on the current screen. From there, the main help system (a locally stored web site) can be started in a browser window. If the required file cannot be found locally, you can try to use the on-line help system.

Click this button on the controle panel to start the main help system directly.

You can also get help on a field or screen by right-clicking on it.

exit screen

Close the current screen.

N.B. if you only want to access a different screen via the menu system, use the 'go to control panel' button. The current screen will remain open, and accessible via the Windows task bar, so that it can quickly be used again if needed. Use the exit button if you need to release system resources or are certain you've finished with the screen.

Call up the control panel (menu system). The current screen will remain open, and accessible via the Windows task bar.

If you want to close the screen (to release system resources or if you're certain you've finished with it) use the exit button .

record selection window

The record selection window has two main purposes:

  • when used above a subscreen (e.g. the subscreens for web page elements or extra pages), clicking on a line will call up that record in the subscreen,
  • when one or more records are selected, they can be processed using the buttons directly below the selection window.
The numbers in the first column on the left-hand side indicate the current sequence of the records in the database.

Click on a column heading to sort the window contents on that field. The records in the window are sorted on the column clicked, and an arrow appears showing the sort column and direction.

Click the column heading again to reverse the sort direction. Note that the order of records in the database still corresponds to the line numbers in the first column on the left; only the screen contents have been sorted.

When the records in the window have been sorted, two new buttons appear above the first and last columns:

  • click on the button 'sort on this column' ( ) to re-display the records in their current sequence in the database,
  • click on the button 'resequence' ( ) to resequence the records in the database according to their current order on the screen.

 

 

Using the Ctrl and Shift keys, more than one record can be selected for processing by the buttons below the selection window:

move selected subrecords within main record

Move the selected subrecord(s) respectively up one place, to the top, down one place or to the bottom, within the main record.

If the subrecords have been sorted on the screen by clicking a column heading, they will be re-displayed in their current sequence before being moved.

reverse selection

Reverse the current selection. If no records are currently selected, clicking this button will select all records.

copy or move selected subrecords

Copy or move, respectively, the selected subrecords to the selected destination main record.This can be the current main record, or another one.

After the copy/move, the destination record can be called up using the button 'work on selected record(s)'

Call up the selected destination record for processing.

delete selected record(s)

Delete the selected records, after confirmation, as if they had each been individually called up and deleted using the delete button..

copy details from this record to other record(s)

A screen will be opened in which one or more fields can be selected for copying from this record to the other record(s) selected in the record selection window.

destination main record for copy / move

The code of the destination main record for copying or moving selected subrecords. This is also the destination record for the button 'work on selected record(s)'.

Specifies exactly where the selected subrecords should be placed in the destination main record when copied or moved.

date / time record created / last updated

The date and time at which the record was created, and at which it was last updated.

record counter

The sequence number of the current record within the series of records which can currently be viewed in the screen. Note that there may well be more records of this type in the database: records which can not currently be seen by the user (e.g. because they belong to another company) are not included in this record count.

If you go through the records in sequence using the previous and next record buttons, this counter will show how far through the database you've got.
